Cancellation Policy – Pure Nile Tours

At Pure Nile Tours, we understand that travel plans may change. This Cancellation Policy explains the cancellation charges, refund conditions, and procedures applicable to confirmed bookings.
By confirming a booking, paying a deposit, or making a payment to Pure Nile Tours, the client acknowledges and agrees to the terms outlined below.
1. Standard Cancellation Policy
The following cancellation charges apply to all confirmed bookings, except where separate conditions have been communicated for a specific hotel, Nile cruise, flight, special event, or promotional offer.
Cancellation charges are calculated according to the date on which written notice of cancellation is received by Pure Nile Tours.

2. Peak Holiday Period Cancellation Policy
The following cancellation conditions apply to bookings scheduled during Christmas, New Year, and Easter holiday periods.
These periods are subject to exceptionally high demand, limited availability, and stricter cancellation conditions imposed by hotels, Nile cruise operators, airlines, and other suppliers.

3. How to Submit a Cancellation
All cancellation requests must be submitted in writing by email to:
The cancellation request should include the client’s full name, booking reference, travel dates, affected services, and the reason for cancellation.
A cancellation becomes effective only on the date the written request is received by Pure Nile Tours. Messages sent to tour guides, drivers, hotels, or third-party suppliers will not be considered an official cancellation unless confirmed in writing by Pure Nile Tours.
4. Non-Refundable Fees
The following amounts and expenses are non-refundable where they have already been charged, incurred, or paid to a third-party provider:
- Bank transfer and intermediary bank fees.
- Credit or debit card processing fees.
- Payment gateway and currency conversion charges.
- Visa, permit, and administrative processing fees.
- Non-refundable domestic or international flight tickets.
- Non-refundable hotel or Nile cruise deposits.
- Entrance tickets, event tickets, and special permits already issued.
- Any other non-refundable costs charged by an independent supplier.
5. Special and Non-Refundable Bookings
Certain travel services may be subject to separate, stricter, or fully non-refundable cancellation conditions, including:
- Hotels and Nile cruises during peak travel periods.
- Domestic and international flight reservations.
- Special events and limited-availability departures.
- Solar eclipse tours and other event-based travel packages.
- Promotional, discounted, or special-rate bookings.
- Private charters, exclusive services, and group reservations.
- Services requiring advance non-refundable supplier payments.
Any applicable supplier-specific conditions will be clearly communicated in the quotation, invoice, booking confirmation, or related correspondence before the booking is confirmed.
Where a supplier’s cancellation terms are stricter than the standard Pure Nile Tours policy, the supplier’s confirmed terms will apply to the affected service.
6. Refund Process
Where a refund is applicable, it will be calculated after deducting the relevant cancellation charge and all applicable non-refundable fees.
Refunds will normally be returned using the original payment method whenever reasonably possible. Pure Nile Tours may request additional account or identification information where necessary to complete the refund securely.
Refund processing times may vary depending on the payment method, issuing bank, payment gateway, card provider, supplier response time, and any international banking procedures.
Pure Nile Tours is not responsible for delays caused by banks, card issuers, payment gateways, suppliers, or other independent financial institutions after the refund has been submitted for processing.
7. Changes Treated as Cancellation
Requests to change travel dates, passenger names, destinations, hotels, Nile cruises, flights, room categories, or major itinerary services are subject to availability and supplier approval.
Where a supplier does not permit an amendment, the requested change may be treated as a cancellation of the original service followed by a new booking. In such cases, the applicable cancellation charges and any new booking costs will apply.
8. No-Show and Unused Services
A no-show occurs when a client fails to arrive, join, or use the confirmed travel service without providing prior written cancellation notice.
No refund will be provided for no-shows, late arrivals, early departures, missed transfers, missed flights, or any accommodation, excursions, meals, transportation, tickets, or other services voluntarily left unused by the client.
9. Cancellations Caused by Exceptional Circumstances
Cancellations, interruptions, or changes resulting from circumstances beyond the reasonable control of Pure Nile Tours may be subject to the cancellation and refund conditions of the relevant suppliers.
Such circumstances may include severe weather, natural disasters, war, terrorism, civil unrest, government restrictions, epidemics, pandemics, strikes, border closures, flight cancellations, transportation disruption, or other force majeure events.
Pure Nile Tours will make reasonable efforts to assist the client, recover refundable amounts from suppliers, or arrange suitable alternatives where available. However, refunds cannot be guaranteed for amounts already paid to non-refundable third-party providers.
10. Travel Insurance
Pure Nile Tours strongly recommends that all clients obtain comprehensive travel insurance immediately after confirming their booking.
The insurance policy should provide suitable coverage for trip cancellation, travel disruption, medical emergencies, personal injury, repatriation, missed departures, luggage loss, and other unexpected circumstances.

In the event of any conflict between this policy and supplier-specific conditions confirmed for a particular booking, the conditions stated in the applicable quotation, invoice, or booking confirmation will apply to the affected service.
